Office Administrator

Optima Products Ltd. are a rapidly growing manufacturing company based close to Bristol & Bath. Our award-winning products are used in high quality interior fitouts of commercial office space, generally for blue chip clients, throughout the world.

This is an exciting time to join the company as it is experiencing a significant level of growth and expansion.

The role

We are looking to recruit an Office Administrator to join us, to ensure accurate and optimum utilisation of the time and attendance system and carry out any other administration tasks necessary to increase efficiency.

Administering and monitoring the booking of all leave through the in- house time and attendance system, you will produce daily absence, timekeeping and attendance reports and monthly timesheet information for the shop floor staff for payroll purposes and ensure the correct return to work process is followed. Maintaining a skills matrix document for all areas and ensuring that recruitment of temporary labour is efficiently administered. You will attend Health and safety meetings and assist with health & safety administration. You will take minutes at meetings, arrange travel and accommodation for staff and catering for meetings; ensuring meeting rooms are prepared appropriately.

You will be responsible for the distribution of post and for arranging couriers. You will be required to prepare and issue internal communications as and when requested, and assist with invoice processing and the filing and scanning of documents.

Requirements

 With a positive, confident and friendly attitude, you will have good spoken/written communication skills, an excellent telephone manner and the ability to stay calm under pressure.

You will have the ability to manage multiple tasks and demonstrate great listening and organisational skills. You will have a good eye for detail, strong IT skills and a proactive approach.

A minimum of 4 GCSE passes at grade C or above, to include English and Mathematics.
